HUSTON, CITY MANAGER FROM: PUBLIC WORKS DEPARTMENT/FIELD SERVICES DIVISION SUBJECT: ACCEPTANCE OF PUBLIC IMPROVEMENTS AND AUTHORIZATION TO FILE THE NOTICE OF COMPLETION FOR CARPET PURCHASING, REMOVAL AND INSTALLATION AT CITY HALL (CIP NO. 1032) SUMMARY The re-carpeting of City Hall (CIP No. 1032) has been completed to the satisfaction of the City Engineer and is now ready for City Council acceptance. RECOMMENDATION It is recommended that the City Council adopt Resolution No. 08- 23 accepting the public improvement project for carpet purchasing, removal and installation at City Hall (CIP No. 1032) and authorizing the recordation of the Notice of Completion and direct the City Clerk to: 1. Release the labor and Materials Bond not sooner than thirty-five (35) days after the date of recordation of the Notice of Completion: and 2. Release the Faithful Performance Bond not sooner than one year after the date of recordation of the Notice of Completion; and Assuming no claims or stop payment notices are filed, it is further recommended that thirty five (35) days after the date of recordation of the Notice of Completion, the City Council authorize payment of the final 5% retention in the amount of $8,289.46 to Shaw Industries, Inc. dba Shaw Strategic Solutions Group. The final installation cost for the project including one contract change order is $165,789.27. FISCAL IMPACT The final installation cost for re-carpeting of City Hall (CIP No. 1032) is $165,789.27. Project construction has increased the City's infrastructure assets by approximately $165,789.27. Any increased infrastructure valuation amount will be added to the City's infrastructure inventory after final project accounting by the Finance Department as required by Statement 34 of the Government Accounting Standards Board (GASB 34). Draft final cost information is currently shown on the attached GAS 34 Infrastructure Inventory Valuation Forms. Acceptance of Public Improvements and authorization to File the Notice of Completion for Carpet Purchasing, Removal and Installation at City Hall (CIP NO. 1032) April 1, 2008 Page 2 BACKGROUND AND DISCUSSION The carpet purchasing, removal and installation project at City Hall (CIP No. 1032) was completed on February 24, 2008. The work consisted of removal/disposal of old carpet and installation of new carpet at all of City Hall offices and the Police Department executive offices. All work for this project has been completed to the satisfaction of the City Engineer and is now ready for City Council acceptance. Tim D. NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Tustin that said public works and improvement is found to be complete, and the same is hereby accepted. Said public works and improvement is more particularly described as follows: Carpet purchasing, removal and installation at City Hall (CIP No. 1032) BE IT FURTHER RESOLVED that the City Engineer of the City of Tustin is hereby authorized to execute and file a Notice of Completion for the acceptance of said public works and improvement described herein as required by law.
