NAULT, FINANCE DIRECTOR SUBJECT: AWARD CONTRACT TO PROCURE TWO RIGHT-HAND DRIVE VEHICLES FOR WATER SERVICES DIVISION'S METER READING ACTIVITIES SUMMARY: Bids to procure two (2) right-hand drive vehicles for Water Services Division's meter reading activities were solicited via public advertisements. Two (2) bids were received from qualified bidders on October 2, 2008. Staff has reviewed the bid, and determined that the prospective vendors have fully met the bid and specification requirements. RECOMMENDATION: Staff recommends that the City Council award the contract to purchase two (2) right- hand drive vehicles for Water Services Division's meter reading activities to H.W. Hunter, Inc. in the amount of $55,214. FISCAL IMPACT: Adequate funds are available in the Water Division's Operations Budget for the purchase of two (2) right-hand drive vehicles. The total cost for two (2) right-hand drive vehicles is $55,214. BACKGROUND: Per the City of Tustin's Municipal Code, staff requested authorization from the City Council to solicit bids for the acquisition of two (2) right-hand drive vehicles at the City Council's August 5, 2008 meeting. The trucks would be used by the meter readers in the performance of their duties. Bids were opened on October 2, 2008. There were two (2) bids received and the results are summarized as follows: • H.W. Hunter, Inc . ................................................................... $55,213.52 • Orange Coast Chrysler Jeep Dodge, Costa Mesa .......................... $55,866.48 Page 2 The City will be incorporating the meter reading service, which is currently contracted to Alexander's Inc., into the Water Services Division. The contract would be discontinued once the City's in-house water meter reading service is ready for deployment. Staff believes that an in-house meter reading service would increase the level of customer service to our water customers and yield a cost savings within three (3) years. Ronald A.
