STACK, DIRECTOR OF PUBLIC WORKS/CITY ENGINEER SUBJECT: ACCEPT IMPROVEMENTS FOR THE INFORMATION TECHNOLOGY / FINANCE RECONFIGURATION (CIP 10032) AND AUTHORIZE THE CITY ENGINEER TO FILE THE NOTICE OF COMPLETION SUMMARY Construction of the Information Technology/Finance Reconfiguration CIP No. 10032 has been completed to the satisfaction of the City Engineer and is now ready for City Council acceptance. RECOMMENDATION It is recommended that the City Council: 1. Adopt Resolution No. 12-51 accepting the construction of Information Technology/Finance Reconfiguration CIP No. 10032; and 2. Authorize the City Engineer to execute and file the Notice of Completion with the County Recorder's Office. FISCAL IMPACT The final construction cost for the Information Technology/Finance Reconfiguration is $361,611, comprised of $187,077 for Phase 1 and $174,534 for Phase 2. DISCUSSION On January 17, 2012 City Council authorized staff to negotiate a change order with TBC Contractors Corporation to extend the project to include Phase 2. Along with interior wall demolition, new space lighting and electrical, Phase 2 work included the installation of a Won-Door (fire-rated horizontal automated Fire System articulating door), major corridor wall relocation/expansion to increase floor space for work station utilization, the relocation of electrical sub-panels in the former IT area, reconfiguration of the former reprographic area and vault area to accommodate two new interior offices, copy room and modified break room. The initial phase dealt primarily with the IT central network server relocation, second floor restroom reconfiguration, electrical switch gear upgrades, building structural reinforcement, and climate control and ventilation upgrades. TBC's contract bid price for this work was $177,800. Three enhancements or changes in scope/design were value added in the Notice of Completion for IT/Finance Reconfiguration June 5, 2012 Page 2 amount of $9,277 and included City Hall electrical panel upgrades and spare conduits for future needs and field modifications to improve the climate control characteristics of the network server room. Construction was completed by TBC Contractors Corporation on May 22, 2012. All of the work for the project has been completed to the satisfaction of the City Engineer and is now ready for City Council acceptance. S. Stack, P.E. of Public Works/City Engineer Attachment: Resolution No. 12-51 S:\Ciry Council Items�2012 Council Items\NOC IT-Finance Reconfguration-Agenda.docx RESOLUTION NO. 12-51 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF TUSTIN, CALIFORNIA, ACCEPTING THE WORKS OF IMPROVEMENT AND AUTHORIZING THE RECORDATION OF THE NOTICE OF COMPLETION FOR CONSTRUCTION OF THE INFORMATION TECHNOLOGY / FINANCE RECONFIGURATION (CIP 10032) WHEREAS, TBC, Inc., having a contract with the City of Tustin to construct the hereinafter described public works and improvement; and WHEREAS, the City Engineer has duly certified to the construction of said public improvement hereinafter mentioned in a manner satisfactory to the City Council of the City of Tustin; and WHEREAS, the City Council finds that said contractor has completed said public improvement hereinafter more particularly described in accordance with the provisions of the contract documents and the Notice of Completion, and acceptance of said public works and improvement should be filed and payment of the balance due said contract authorized in accordance with the contract documents; NOW, THEREFORE, BE IT RESOLVED by the City Council of the City of Tustin that said public works and improvement is found to be complete, and the same is hereby accepted. Said public works and improvement is more particularly described as follows: The Information Technology / Finance Reconfiguration (CIP 10032) BE IT FURTHER RESOLVED that the City Engineer of the City of Tustin is hereby authorized to execute and file a Notice of Completion for the acceptance of said public works and improvement described herein as required by law.
