HUSTON, CITY MANAGER COMMUNITY DEVELOPMENT DEPARTMENT AUTHORIZATION FOR DESTRUCTION OF ORIGINAL COPIES OF COMMUNITY DEVELOPMENT DEPARTMENT RECORDS WHICH HAVE BEEN MICROFILMED RECOMMENDATION: It is recommended that the City Council authorize the destruction of certain original building plans, calculations, permits, and correspondence which have been microfilmed. FISCAL IMPACT: The Community Development Department collects a microfilm fee for all projects in order to recover the costs associated with microfilming records. ., ~ BACKGROUND/DISCUSSION: The Community Development Department.,prepares official plans, calculations, permits and correspondence for microfilming upon completion of a project. The microfilm contractor prepares two copies of each original document and returns the microfilm copies and the originals to Community Development Department. The microfilm copies are compared against the inventory sheets prepared when processing records for microfilming to ensure that the microfilm copies are complete. Following the audit of the microfilm, one set of microfilmed copies is provided to the City Clerk's office as a permanent record. The second set of microfilmed records is maintained in the Community Development Department for use by the public and City staff. California Health and Safety Code Section 19850 requires the Building Department of every city or county to maintain an official copy, which may be on microfilm, of the plans of every building, during the lif~ of the building, for which the department issued a building permit. Attached is a summary of the projects which have been microfilmed.
