HomeMy WebLinkAbout06 DESTRUCTION OF RECORDS - HUMAN RESOURCESRBETIMUM With approval from the City Council and City Attorney, the City's Record Retention/Disposition Schedule permits the destruction of records in accordance with specific criteria. Files pertaining to a number of closed recruitments have been identified as meeting the criteria for destruction. RECOMMENDATION Adopt Resolution No. 16-16, authorizing the destruction of certain records in possession of the Human Resources Department. FISCAL IMPACT The fiscal impact is minimal and limited to the cost of util�izing an authorized record destruction company to properly destroy documents. City Council Resolution No. 01-91 serves as the City's formal Record RetentionlDisposition Schedule and outlines specific eligibility criteria for the destruction of records. Recruitment files (including job announcements, advertisements, applications, resumes, testing materials and background files) may be destroyed three (3) or more years after the recruitment has closed. Exhibit A — Summary of Recruitment Files to be Destroyec RESOLUTION NO. 16-16 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF TUSTIN, CALIFORNIA, AUTHORIZING THE DESTRUCTION OF CERTAIN CITY RECORDS IN POSSESSION OF THE HUMAN RESOURCES DEPARTMENT WHEREAS, the City of Tustin's ("the City's) Record Retention/Disposition Schedule, adopted by the City Council via Resolution No. 01-91, authorizes the destruction of certain City records upon approval of the City Council and consent of the City Attorney; and WHEREAS, the Director of Human Resources has requested authority to destroy certain records in a time and manner consistent with the City's Record Retention/Disposition Schedule; and WHEREAS, the records listed in Exhibit A are occupying space needed by the Human Resources Department and none of the listed records have sufficient value to justify retention beyond that which is required; and WHEREAS, the City Attorney has given written consent to the destruction of the records listed in Exhibit A. NOW, THEREFORE, BE IT RESOLVED that the City Council of the City of Tustin does hereby resolve as follows: PASSED AND ADOPTED at a regular meeting of the City Council of the City of Tustin held on the 5th day of April 2016.
