HUSTON, CITY MANAGER COlqMUIIITY SERVICES DEPARTMENT DESTRUCTION OF CONMUIIITY SERVICES FILES RECOMMENDATION: To approve Resolution #86-113 allowing destruction of class registrations, incoming and outgoing correspondence, payroll materials, receipts and miscellaneous department files and records. BACKGROUND: This action is in accordance with state and federal law, and will allow us to manage records storage in an efficient and effective manner. Susan M. White, Director Community A Administrative Services RAW:SMJ:sk Attachments 1 2 3 4 5 6 7 8 9 10 11 12 13 14 15 16 17 18 19 2O 21 22 23 24 25 26 27 28 RESOLUTION NO. 86-113 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF TUSTIN, CALIFORNIA, APPROVING DESTRUCTION OF CERTAIN COMMUNITY SERVICES DEPARTMENT RECORDS. WHEREAS, except for records affecting title to real proper~ or liens thereon, court records, records required to be kept by statute, records less than two years old and the minutes, ordinances, or resolutions of the City Council and other City boards or commissions, Government Code Section 3409D authorizes the head of a city department to destroy any city record, document, instrument, book or paper, under this charge, without making a copy thereof, after the same is no longer reouired, with the approval of the City Council by resolution and the written consent of the City Attorney; and WHEREAS, the Council, upon request of the Director of Community and Administrative Services, desires to approve immediate destruction of certain Community Services records, to-wit, class registrations, incoming and outgoing correspondence, payroll materials, receipts, and miscellaneous departmental files and records. WHEREAS, the City Attorney of the City of Tustin has filed his written consent with the Clerk of the Council of the City of Tustin; NOW, THEREFORE, BE IT RESOLVED, by the City Council of the City of Tustin, California: Pursuant to Section 34090 et seq. of the Government Code of the State of California, approval is hereby granted for the immediate destruction of the items listed below which, as of January 1, 1986, have been retained for a minimum of two years: Class registrations, incoming and outgoing correspondence, payroll materials, receipts, and miscellaneous department files and records. PASSED AND ADOPTED at a regular meeting of the City Council of the City of Tusttn, California, held on the day of , 1986.
