SUBJECT: FINANCIAL REPORTING
Staff has met with Councilman Kelly regarding his request that the City Council
be provided with a monthly expenditure report.
As the City Council is aware the Finance Department currently generates a
number of detailed monthly financial reports. While they are available for
City Council and public inspection, because of their volume they are not
routinely distributed. The City Council does receive a quarterly report which
summarizes revenue and expense information for all funds.
With the City's new financial management system software, there is now
available a monthly report which includes expenditures by major categories for
each department and fund. This report, a sample of which is labeled as "A" is
attached, is approximately 15 pages long.
For a cost of $300-$800, this report can be reduced to approximately 5 pages by
further summarizing monthly expenditures by department and fund. A sample,
labeled as "B", is attached.
With regard to the affidavit of demands, the demands are currently listed in
alphabetical order by vendor. Councilman Kelly has suggested that the demands/
be listed by department. For a cost of $300-$800, the software program can b~
modified to provide for the affidavit of demands to be grouped by department. /
Providing the monthly expenditure report, "B", referred to above and
re-formatting the affidavit of demands would not present any operational
problems for the Finance Department. If the City Council feels there is
utility in these changes, they can be made at a nomial cost and no impact upon
staff.
