HomeMy WebLinkAboutCC 8 AIR COND CONT. 03-18-85 CONSENT CALENDAR ADAG~ NOo 8 MARCH 11, 1985 TO;I'HRU: FROM: S U BJ ECT: WILLIAM HUSTON, CITY MANAGER BOB LEDENDECKER, DIRECTOR OF PUBLIC WORKS/CITY ENGINEER MONDA BUCKLEY, ADMINISTRATIVE ASSISTANT RENEWAL OF HEATING, VENTILATING AND AIR CONDITIONING CONTRACT RECOMMENDATION: Request the Tustin City Council, at their regular meeting of March 18, 1985, to renew the heating, ventilating and air conditioning (HVAC) contract with Dial One Air-Ex Air Conditioning of La Verne for up to three years dependent on lerformance. The contract can be cancelled at any time for any reason upon thirty 30) days written notification. BACKGROUND: April 2, 1984 the C~ty entered into a contract with Dial One Air-Ex Air Conditioning to: regularly maintain the existing HVAC system within the Civic Center Complex and at the Maintenance Yard at 1472 Service Road; to install an energy conservation system; to guarantee energy savings; and to provide feedback on which to base sound decisions regarding energy management. To date, the firm has complied with all the contract terms. When the contract was awarded last year, staff did not request the usual provision for contract renewal so that evaluation of each phase of the contract might be evaluated independently. During the past year: The firm has brought the existing HVAC equipment to a working state of repair, has maintained the equipment on a monthly bases or more frequently as needed, and has responded immediately to any complaints. e The firm has installed a computerized energy management system which resulted in a rebate of over $6,700.00 to the City from Southern California Edison Company. Since the energy management system was installed, energy consumption has decreased approximately 28 percent when compared to the same period last year. 4. Feedback regarding energy management has been provided. RENEWAL OF HEATING, VENTILATING AND AIR CONDITIONING CONTRACT MARCH 11, 1985 PAGE 2 As with most new systems, there have been some problems; however, they have been or are in the process of being corrected. Some of the problems were due to existing equipment failure. Repairs were made as failures occurred. The cost of extending the contract is $32,600.00 or $6,000.00 less than the first year.
