Wynn, City Clerk SUBJECT:ADJ~3~NMENT OF CITY COUNCIL MEETINGS IN MEMORY OF SOMEONE DECEASED RECOMMENDATION: Adopt the following procedures for adjourning Council meetings in memory of someone deceased and direct the City Clerk to have one of the "Official Adjournment" forms printed on parchment paper. BACKG BI~JND: At the April 20, 1981 Council meeting, Councilman Edgar requested that staff inves- tigate the possibility of adjourning Council meetings in memory of someone deceased as is done by the Board of Supervisors. I contacted the office of Supervisor Riley and talked with John Shoddy. He informed me that when a prominent person in one of the supervisors' district dies, that supervisor moves the next meeting be adjourned in their memory and makes a few remarks regarding the deceased. Following the meeting, the supervisor's secretary sends the "Official Adjournment", together with a letter from the supervisor to the family of the deceased. The following procedure could be established by Tustin: When a councilperson wishes to adjourn a meeting in memory of a deceased prominent Tustin resident, a resident who has been active in City affairs, or someone in their immediate family, he may do so by making a motion to that effect, accompanied by a few remarks regarding the deceased at the end of any Council meeting. Following the meeting, the councilperson making the motion shall give the City Clerk in writing the name of the deceased, the name of the surviving spouse or family m-mher, their address, and any pertinent information regarding the deceased that should be included in the letter to the family. The City Clerk shall send the "Official Adjournment", together with a letter from the Mayor to the member of the family designated by the councilperson. Rough drafts of "Official Adjournment" forms are attached. M~ry E. Wynn City Clerk
