ANNUAL AWARDS COMMITTEE
DEPOSIT MONIES FOR BAND AND CATERING FOR AWARDS BANQUET OF 1980
The Cityms Annual Awards Banquet Committee has been doing preliminary work on
this year's upcoming banquet. Several items came to our attention last year
which precluded us from having as successful a party as hoped for; namely,
location, band and food. In order to resolve these problems the committee has
met several times during January and February and have investigated a number of
areas of concern. We have reached the following conclusion:
If Council intends continuing the Awards Banquet in the future, we would
like to suggest provision be made for retention of a portion of funds
available for deposit monies for the following year. We offer the fol-
lowing information for your review:
Location for the 1980 Annual
Awards Banquet will be:
Community Center at City Hall
The band will be:
"Autumn"
Catering:
Final choice not made to date.
Estimated amount of monies needed for this year is $2500, the same
amount as was previously authorized.
Estimated amount of deposit monies needed is $200.
Our preliminary work has revealed a minor problem which needs authorization from
Council before the commiteee can proceed. Attached is a letter from Mr. Stan
Gibbs, who represents the band "Autumn." Mr. Gibbs would like a deposit from
us as soon as possible as his group is already booked for the month of December,
1980 (including our banquet), and he needs confirmation. The caterer of our
choice will also require a deposit to confirm our reservation. The committee
would appreciate it if Council would authorize an expenditure of $200 out of this
year's account in order to guarantee both of these services.
This year's committee (which is comprised of the same members as last year's) calls
to your attention the fact that we were able to retain a $600 balance in the

account. Of the S2500 allocated, we spent $1900 and returned $600 to the
City treasury. We were able to achieve this savings through ticket sales.
We will make the same endeavor to be equally thrifty this coming year. We
will request the S200 from the $600 balance remaining subject to your
approval.
May we have Council's decision regarding the authorization to use $200 from
this year's remaining funds ($600) to assist us in retaining the services of
the band and caterer of our choice?
We would also like to take this opportunity to once again thank all the
Council members for their past and continuing support on behalf of all
the City employees and the Annual Award Committee. We appreciate it.
