SUBJECT: APPROVAL OF AN APPROPRIATION FOR MAINTENANCE OF THE
CITY COUNCIL CHAMBERSAUDIOVISUAL EQUIPMENT
SUMMARY
The audio-visual system in the City Council Chambers is approximately two years old and
requires periodic maintenance to assure proper operating conditions. for City Council
meetings, public meetings, and training sessions. Staff is requesting that the City Council
approve an appropriation in the amount of $9,800 to the Public Works Department
Operating Budget for an annual maintenance contract with Western Audio Visual Corp.
(WAV) of Orange, CA.
RECOMMENDATION
Approve an appropriation amount of $9,800 from the unappropriated balance of the General
Fund and allocate it to the Public Works Department Operating Budget. This will provide for
the extension of a maintenance service .contract with Western Audio Visual Corp. of Orange,
CA for preventive and operational maintenance of the AMX Audio Visual system in the City
Council Chambers fora period of one year.
FISCAL IMPACT
This item is not currently included in the Public Works Department Operating Budget and a
new appropriation is required. Funds are available in the unappropriated balance of the
General Fund.
BACKGROUND
Audio visual equipment installed as part of the City Council Chambers remodel in 2005 has
passed its warranty period and requires periodic services to maintain all functions. Staff has
determined that much of the equipment is of a very specialized nature and requires
servicing by professional manufacturer certified personnel. Western Audio Visual Corp.
(WAV) of Orange, CA is the manufacturer's certified service provider in Orange County.
WAV is the original installer of the equipment and has provided excellent service to the City
on an as needed basis for the past two years.

The maintenance services contract is a one year full service contract that includes
preventive maintenance, equipment replacement and system programming services. The
contract does not require City Council approval. However, the cost of this contract is not
included in the Public Works Department Operating Budget and a new appropriation is
required to provide services for the next year.
Staff is recommending that the City Council appropriate $9,800 to the Public Works
Department Operating Budget to fund a one year service contract with WAV.
